    Walkthrough: Set Up and Send a General Notification for a Blocked Bin

    This walkthrough demonstrates how to set up a workflow so that a notification is sent to a user when a bin is blocked.

    This walkthrough demonstrates the following tasks:

    Prerequisites

    SMTP email is set up. For more information, see Set Up Email Manually or Using the Assisted Setup.

    Story

    The JF company wants Alison to receive an email notification whenever a bin is blocked. Paul blocks a bin, and as a result, an email notification will be sent to Alison.

    Set up a General Notification for a Blocked Bin

    To set up the sending of a general e-mail notification when a bin is blocked, the following procedures must be performed:

    • Set Up the Notification Users. On the Approval User Setup page, Alison must be set up so that she receives notifications. Also, setup is required to define when Alison receives notifications.

    • Define the Events when the User Receives a Notification. Setup is required to define that Alison will receive notifications when a bin record is changed.

    • Create the Blocked Bin Workflow. Before a notification can be sent to Alison when a bin is blocked, a workflow that triggers the notification must be created. Without the workflow, a notification will not be sent.

    To set up the notification users

    1. Choose Tell me what you want to do, enter approval user setup, and then choose the related link.

      The Approval User Setup page opens.

    2. On the action bar, choose New.

    3. In the User ID field, select the user ID of the user who will be receiving notifications, in this case, Alison.

    4. In the E-Mail field, enter the email address of the person who is receiving the notification, in this case, alison@jf.com

    5. To define how and when the approver, in this case, Alison receives notifications, perform the following steps:

      1. Select the Alison line, and then, on the action bar, choose Notification Setup.

        The Notification Setup page opens.

      2. In the Notification Type field, select General.

      3. In the Notification Method field, select Email.

      4. In the Schedule field, select Instantly.

      5. In the Display Target field, select Web.

        When Web is selected, the link within the email notification will go to the Web client.

      Note

      The user requesting the approval, in this case, Paul, will not receive notifications.

    To define the events when the user receives a notification

    1. Choose Tell me what you want to do, enter general email notification setup, and then choose the related link.

      The General Email Notification Setup page opens and displays a list of the users from the Approval User Setup page.

    2. For the Alison user, select the A bin record is changed check box.

    To create the blocked bin workflow

    1. Choose Tell me what you want to do, enter workflows, and then choose the related link.

      The Workflows page opens.

    2. On the action bar, choose New > New.

      The Workflow page opens.

    3. In the Code field, enter BLOCKED BIN.

    4. In the Description field, enter Bin was blocked.

      This description is displayed in the notification.

    5. In the Category field, select INVENTORY.

      This value results in the new workflow being listed on the Workflows page, under the Inventory heading.

    6. On the Workflow Steps, in the When Event field, select A bin record is changed.

    7. To define the action that will trigger the notification, perform the following steps:

      1. Select the On Condition field.

        The Event Conditions page opens.

      2. Select the Add a condition for when a field value changes link.

        The page refreshes and displays more fields.

      3. In the Field field, select Blocked.

      4. In the is field, select Increased.

        This value indicates when a Blocked check box is selected.

      5. Choose the OK button.

    8. To define the response for the event, perform the following steps:

      1. Select the Then Response field.

        The Workflow Responses page opens.

      2. Select the Add More Responses link.

        The page refreshes.

      3. On the first line, select Send general email notification.

        When this value is selected, an email is sent to the person who is set up to receive notifications when a bin is blocked.

      4. On the second line, select Show message "%1", and then enter "Bin was blocked. An email notification has been sent.".

        When this step is performed, a message is displayed to the user who blocks a bin.

      5. Choose OK.

    9. On the Workflow page, to specify that the workflow will start as soon as the event on the first step of type Entry Point occurs, turn on Enabled.

    Trigger a Blocked Bin Email Notification

    Paul has blocked a bin. As a result, he receives a message that a notification was sent, and Alison will receive an e-mail notification.

    To trigger a blocked bin email notification

    1. Choose Tell me what you want to do, enter locations, and then choose the related link.

      The Locations page opens.

    2. Select a location, and then on the action bar, choose Navigate > Location > Bins.

      The Bins page opens.

    3. Select the Blocked check box.

      The following message is displayed:

      Bin was blocked. Notification has been sent.

      The BLOCKED BIN Workflow is triggered, which displays a message to Paul, and sends an email notification to Alison.

      An e-mail notification is sent to Alison.
